Export documentation is the foundation of every international shipment. Get it wrong and customs stops your shipment. Get it right and you ship faster, avoid delays, and protect your business from liability.
| Document | What It Is | When Required |
|---|---|---|
| Commercial Invoice | Itemised list of goods, prices, buyer and seller details | Every export, any value |
| Packing List | Breakdown of goods by box/carton with weights and dimensions | Every export; critical for freight |
| Export Permit | Government permission to export certain product categories | Hazardous goods, endangered species, military items |
| Certificate of Origin | Proof goods are manufactured or produced in South Africa | EU, UK, MERCOSUR destinations; preferential trade agreements |
| Customs Export Declaration (SAD 500) | Official South African customs form | Every export; SARS requirement |
| Insurance Certificate | Proof goods are insured during transit | Recommended for high-value goods |
| Airway Bill / Bill of Lading | Carrier’s receipt and contract of carriage | All international shipments |
According to the Border Management Authority (BMA), approximately 18% of export shipments experience customs delays due to incomplete or incorrect documentation. The average delay costs exporters R2,500–R8,000 in carrier fees, storage, and lost time.
Who fills out the export declaration (SAD 500)?
Your logistics provider or customs broker submits it on your behalf, but you must provide accurate information. JLog handles this for all clients as part of our export service.
What if I ship to multiple destinations?
Each destination may have different requirements. EU destinations need certificates of origin; some African destinations need import permits. Tell your logistics provider your destination and they’ll advise.
How long do I keep export documents?
Keep copies for 6 years. SARS may audit you and request documentation to verify your exports were legitimate.
Can I amend my invoice after submitting for export?
If you catch an error before customs clearance, notify your logistics provider immediately. After customs clearance, amendments are costly and time-consuming.
“Documentation is where most exporters trip up. We check every invoice, every packing list, every certificate before customs sees it. It costs nothing upfront and saves weeks of delays and frustration.” — Gerrit Dyman, Managing Director, JLog
