Condition Reporting & Documentation

We can document works on request. When you'd like it, we record and photograph a piece on arrival and note its condition — images, dimensions, frame condition, surface observations, any existing damage, and any conservation notes you provide.

We keep those records for you and share them when you need them. Documentation is arranged to suit each collection rather than run as a fixed process.

• Insurance claims: if damage occurs, a dated condition report is proof of the work's condition when it came in.
• Sale valuations: appraisers and auction houses base valuations on condition. A documented storage history increases buyer confidence and justifies higher estimates.
• Loans and exhibitions: museums and galleries require condition reports before accepting works on loan. We provide condition reports on request to support those requirements.
• Restoration planning: if a work needs conservation, you have a baseline record to compare before and after treatment.
• Liability protection: a report made on arrival records the condition in which we received the work.

Collection Management Services

JLog is your art logistics partner beyond storage alone. When you store with us, you gain access to the full range of JLog services:

• Retrieval for loans: your work is requested for exhibition at another gallery or museum. We retrieve it, prepare documentation (condition report on request), and arrange safe transport.
• Transport to exhibitions: hanging a gallery show or participating in an art fair. We handle pickup, packing, transport, delivery, and return to storage — all tracked through our platform.
• International shipping: a work sells to an overseas buyer. We manage export paperwork, customs documentation, international freight, and delivery to the buyer's country, including artwork classification through customs. Where CITES applies, you apply for the permit with DFFE and we ship once it is in place.
• Return from art fairs: your work was in the Investec Cape Town Art Fair. We retrieve it after the event and return it to storage or your location.
• Collection photography: images of stored works for a sales catalogue, website, or insurance documentation, arranged in our facility or at your location.

We keep digital records of your stored collection in Vault, JLog’s free digital registry, and share updates on movement, storage costs, and transport charges with you on request.

Insurance & Valuations

JLog does not currently insure goods held in storage. Please arrange your own cover for stock in our warehouse; your broker can usually add it to an existing policy. If you ship with us, we can arrange optional all-risk transit insurance when you ask.

Fine art requires specialist insurance. Standard homeowners or commercial policies exclude high-value artwork or cap coverage at unrealistic limits. Goods-in-transit insurance is in place for moves; details on request.

How Storage Insurance Works

For stored works we recommend your own fine-art policy:

• Coverage under your own policy: you have (or arrange) an existing fine art policy, and JLog acts as bailee. Your insurer covers the collection while in our care, and you keep control of the policy, adding or removing works as needed.

Valuations

We can arrange independent appraisals through partner valuers to establish insurable value. Our valuers are experienced in South African and international art markets and can provide documentation suitable for insurance claims, estate planning, or tax purposes.

JLog pricing is transparent. There are no hidden handling fees, access charges, or movement surcharges for routine service.
